Subletting of Space
No exhibitor shall (without the written consent of the Show Management), share their booth space with any other exhibitor or person, or assign, sublet or apportion the whole or part of the space assigned to any other exhibitor or person, except to a parent or subsidiary corporation or business. The exhibitor remains fully responsible and liable under its contract for all activities of any person occupying or using its space.
The exhibitor shall not, without the written consent of Show Management, represent any other firm, corporation or individual, or advertise, distribute literature concerning, or offer for sale, the product of any other firm, corporation or individual, except as specified in its contract for space.
Scheduling of Operations
A time schedule for installation of exhibits, removal of exhibits and hours during which Buildex Seattle/Construct Seattle/DesignTrends Seattle (Herein after referred to as THE TRADESHOW) will be open to authorized industry representatives is clearly stated in this manual. This schedule is considered part of the contract.
Show Management, THE TRADESHOW, its officers and representatives will assume no liability for failure on the part of the exhibitor to deliver their exhibit on time for move-in or move-out of THE TRADESHOW.
During move-out, all exhibits must be packed and ready for shipment no later than the final date and time for move-out as established by Show Management in the move-out schedule. Show Management, in any manner it may determine, at the expense of the exhibitor, may dispose of any exhibits, merchandise, display or packing materials not removed by Thursday, October 2, 11:00 PM as specified in the move-out summary.
No booths, displays or exhibits shall be dismantled or removed prior to the scheduled closing of THE TRADESHOW.
No exhibitor, nor any employee, agent or servant of an exhibitor, shall be permitted to enter the exposition hall until ninety minutes before the official opening hours on show days, nor be allowed to remain later than ninety minutes after official closing hours. Exhibitors shall put their exhibits in order during the packing and unpacking or during the exhibition hours in effect.
In the event that THE TRADESHOW is cancelled, postponed or moved to another location, the Show Management shall determine what portion of the participation fee, if any, shall be refunded to the exhibitor.
Admission and Removal of Goods
No exhibit material shall be brought into or removed from the Exhibition Hall during the time the exhibit is open to the public unless permission in writing has been obtained from Show Management and then upon the conditions and at the times set by the Show Management for that purpose.
The exhibition areas will be patrolled 24 hours per day. Such service will be in effect from the beginning of move in through the time and date announced in the "Schedule of Operations" through to the end of move out.
Character of Exhibits
Each exhibitor shall display or exhibit only articles of merchandise of said exhibitors' own manufacture or for which said exhibitor is the representing agent.
Show Management reserves the right to decline to permit an exhibitor to conduct or maintain an exhibit if, in the judgement of the Show Management, the exhibit, or proposed exhibit, should in any respect be deemed unsuitable. This reservation relates to persons, conduct articles of merchandise, printed matter, souvenirs, catalogues and anything else without limitation, which affects the character of the exhibit.
Distribution of advertising material or the use of live models or other persons for the distribution of souvenirs for advertising of any type is prohibited outside the exhibitor's assigned display space. The Show Management may authorise the distribution of certain type printed matter on a strictly limited basis, but such authorisation must be obtained from Show Management before such distribution takes place.
No exhibitor shall distribute, or cause to be distributed for wear, badges or identifying buttons to be affixed to the clothing of THE TRADESHOW visitors.
In the event that Show Management determines the conduct of any exhibitor, its employees, agents or servants or part of any exhibit is not in keeping with the character of THE TRADESHOW, Show Management may at any time, without notice, terminate the contract for space entered into with said exhibitor. With or without process of law, Show Management may remove the exhibitor, its employees, agents, servants and all of the property of the exhibitor from the space contracted from the Exhibit Hall.
No exhibitors shall have any right or claim against THE TRADESHOW or Show Management on account of any action so taken. The determination of Show Management as to the suitability of any exhibitor, exhibit or proposed exhibit, or as to whether any exhibit or the conduct of any person is in keeping with the character of the exhibition, shall in each instance be final.
No explosive, inflammable or other hazardous materials shall be brought into, kept or maintained by an exhibitor in the space contracted for, or in any portion of the Exhibition Hall in violation of any provincial laws, or local ordinances and regulations.
There will an 8 ft. high curtain behind your display; however, all exhibits must feature a "hardwall" or "pop-up" structure in front of the curtains. Hanging banners from the curtains or otherwise relying on the drape for your backdrop is prohibited. There will be no curtained sidewall provided. Your booth and its contents must not exceed 8ft high unless authorized prior to the event. Sidewalls may be up to 8 ft. high, but only for 3 ft from the backwall – after which they must taper or drop to 3 ft. high. The back of any sidewalls or signage that may be visible to your neighbours must be finished. Do not obstruct your neighbours site-lines. Please review the diagram at right for an example of an in-line 10x10 display. If in doubt about your display, please have your exhibit approved by show management prior to the event to avoid difficulties on-site. Show Management reserves the right to alter displays for any exhibits that do not conform to regulations.
Insurance and Care
Each exhibitor shall be liable for the safety of its exhibits and other property against robbery, fire, accident or any other hazard whatsoever, without limitation. No right or claim whatsoever shall be asserted against THE TRADESHOW or Show Management by any exhibit for the loss of, or damage to any exhibits, articles or merchandise or other personal property owned, rented or leased by the exhibitor, arising from any cause whatsoever.
No exhibitor shall allow any articles to be brought into the Exhibit Hall, or any action to be done on the premises which would increase the premium on any policy or policies of insurance held by THE TRADESHOW, or by the Manager of the Exhibit Hall, or which may cause any such policies of insurance to be cancelled.
No exhibitor shall in any manner, injure, mar or deface the said Exhibit Hall building internally or externally, or permit anything to be done by their employees, agents or servants by which said premises shall in any manner be injured, marred or defaced.
Solicitation in Exposition
The aisles and other spaces in the Exposition Hall not leased to exhibitors shall be under the control of Show Management. All displays, interviews, conferences, distribution of literature, lectures, sales and the transaction of business of any nature whatsoever shall be made inside the contracted space. Standing in aisles or in front of exhibit booths or other exhibitors, or the intercepting of those in attendance for advertising purposes is strictly prohibited. A minimum of 25% of the floor space in any exhibitor's booth must be open and free of exhibits.
Installation, Operation and Removal
Display material of any kind must be fireproof. Material found not fireproof must be removed and suitable fireproof material substituted. All booth decorations and construction must conform to local fire regulations.
All necessary electrical, gas, steam, water and only the approved contractors of Show Management, at the exhibitor's expense may install drainage outlets required by the exhibitor.
The decision of the Show Management in each instance shall be final on all matters pertaining to the installation and removal of exhibits.
All temporary labour or labour not on permanent payroll of exhibitor must be cleared through Show Management. This includes all persons hired by the exhibitor for installation, operation and removal of the exhibit, and those hired by the exhibitor for promotional purposes.
Where union labour is required because of union jurisdiction, building or contractor requirements, it is absolutely necessary for the exhibitor to comply with these regulations.
Forlift services are available onsite. Additional charges apply. Please refer to the Order Forms section of your exhibitor manual for rates and documentation.
Service Contractors
The Show Management, acting on behalf of all exhibitors in the best interest of THE TRADESHOW, has appointed official contractors to perform and provide necessary services and equipment.
Official contractors are appointed to:
- To ensure the orderly and efficient installation and removal of exhibits
- To assure the distribution of labour to all exhibitors according to need.
- To provide sufficient labour to satisfy the requirements of exhibitors and the show.
- To ensure the proper type and limits of insurance are enforced.
- To avoid conflict with local union regulations and requirements.
The official contractors will provide all usual trade show services including labour. Exceptions are:
- The Exhibitor may provide supervision.
- They may appoint an exhibit installation contractor, or exhibit display house.
Please Note: Should an exhibitor wish to have their exhibit installed by a contractor other than the official contractor, the following conditions must be met:
- The exhibitor must inform Show Management of the name and address of the contractor and the work to be performed. This information must be received in writing no later than September 7, 2008 at:

The installation contractor to be used by the exhibitor must comply with the following:
- A certificate of insurance with the following limits: Comprehension, General Liability not less than $1,000,000 with respect of injuries to any one person in any occurrence; $3,000,000 with respect to injuries to more than one person in any one occurrence; and $50,000 with respect to damage of property. Worker's Compensation Insurance, including employee liability coverage, in a minimum amount of $100,000.
- Must agree to abide by all rules and regulations of the show.
- Must agree to abide by all union rules and regulations.
This information must be received in THE TRADESHOW office in writing no later than September 7, 2008.
Identification badges must be worn at all times. Temporary labour badges will be provided. Badges will be issued only to persons actually used to supervise, install, dismantle and maintain exhibits.
For services such as electrical, plumbing, telephone, drayage, no contractor other than the official contractor will be approved. This regulation is made necessary because work is done on equipment and facilities owned by parties other than the exhibitor. The exhibitor shall provide only the material and equipment which they own and is used in their exhibit space.
Service Charges
In addition to all other payments provided in this contract, the exhibitor agrees to pay for the following services at rates established by Show Management:
- The handling of incoming and outgoing freight.
- Labour and material to assist in building, maintenance and dismantling of the exhibit
- Electrical services, including outlets. Authorised personnel at applicable published rates install all utility services.
- All other special services.
Payments for services contracted directly with the Exhibit Hall will be made directly to them. Other services contracted through THE TRADESHOW will be paid directly to the individual service contractor who provides the service.
Unoccupied Space
Should any rented space remain unoccupied on the opening day or at any time thereafter, Show Management reserves the right, to rent or occupy this space. However this clause shall not be construed as affecting the obligation for the exhibitor to pay the full amount of the rental provided in the contract for space. In the event Show Management shall not so let the space, nor shall it affect the right of THE TRADESHOW to retain as liquidated damages the whole or any part of the rental received.
Objectionable Noises, Horns and other Alarms
Sound effects, loud speakers, stage shows or entertainment provided by exhibitors must be cleared by Show Management to avoid interference with other exhibitors.
The determination of Show Management as to whether any article or merchandise is objectionable for display at THE TRADESHOW shall be final.
Interpretations and Amendments
The Show Management shall have the full power to interpret and enforce all rules contained herein, the power to make amendments and to enact such further rules and regulations as it shall consider necessary for the proper conduct of THE TRADESHOW.
